Staffing 11/2: invoicing, RFP decisions and a busy December

All time and expenses are due today (monday), and PMs should check that their teams’ timesheets are in.

On the business development side, we passed on a few RFPs, have a fee proposal for The Next Step Supportive Housing due Nov 13, and picked up new pursuits including Shelburne Road in Vermont (due Nov 20) and Watson Farm and Hotchkiss School (both due Dec 4).

Also in this post: upcoming awards and events, the January 7 Mass HLC deadline, and who’s picking up what on the workload list.

Happy November, everyone! Here’s the rundown from Monday’s staffing meeting.

Do this first

  • Invoicing: we’re already in November. All time and expenses are due today.
  • Proposals and contracts: please log outstanding proposals and contracts in CMap so we can calculate our fee backlog accurately.
  • Timesheets: PMs, check in with your teams to make sure time is submitted. The Late Timesheets Report in CMap shows who’s behind.

Business development

New leads

  • Faculty housing at Dartmouth College (Jeremy): the client is writing a scope for us to respond to. It’s the same client as the Brandeis housing work.
  • Interior fit-out of a library (Ben): decided not to pursue.
  • Warwick Housing with Crossroads: Kevin B will discuss it after staffing.

Fee proposals in review

  • Lower Providence Library: draft is ready for review.
  • The Next Step Supportive Housing: the client will issue a formal scope RFP before our proposal, which is due Nov 13.
  • Champagne Heights Admin Building: going out today.

RFPs and RFQs

  • Decided to pass on High Meadows (Hamden, CT), the Sumter, SC infill pattern book (budget and scope didn’t line up), and the Oak Hill property redevelopment in North Kingstown (it couldn’t meet financials).
  • New: Shelburne Road Center Plan, South Burlington, VT (Jeremy), due Nov 20. Questions are accepted until Nov 6. It’s been forwarded to HW, who are reviewing.
  • New: Watson Farm Barn Redesign, Jamestown, RI (Kara). Historic New England invited us to respond with a concept design for a new barn and visitor center. Due Dec 4 at noon.
  • New: Hotchkiss School (CT) campus masterplanning (Jeremy). We’re invited to respond, due Dec 4.
  • 246 Prairie Avenue: due Dec 4 (Dec 1 to the client).

Awards, events and conferences

  • AIA National (due 11/3): we’re skipping this year and will reconsider next year.
  • RI Monthly Design Awards: due 12/11, with Soria (Frenchtown Rd), the Abel Wilk residence and Downcity Design.
  • ULI Americas Award for Excellence: due 2/22/27, with the Cape Cod Catalog of Dwellings.
  • AIARI Awards Ceremony: 11/12.
  • AIA Maryland Future Forward: Kara is speaking on 11/4.
  • OneCape Summit: 11/15, with Paul and Christina attending. The conference is full.
  • National Adaptation Forum (virtual): Climate Change Programs in Higher Ed, 12/2, 11a to 2p.
  • Photography: the Ade Bethune House shoot is Wednesday, exterior only. Send photography requests and conference info to Colette.

Design review

  • BEST Block: Paul, Carson, Majaya and Ben, next week.

Deadlines to keep in view

  • Mass HLC application deadline is January 7. Thanks, Joe! Affects Chatham Affordable Housing (Main Street), Harwich Affordable Housing and Attleboro Senior Housing.
  • RI Housing LIHTC could come in January or February. West Elmwood and the Community Capital Improvement Project have no new work. Elmwood Avenue is only updating the city plan commission package with a sixth story.
  • Washington Street Apartments: DD deadline is mid-January.

Who’s picking up what

  • Arica: more hours on the Prairie Ave RFP while Esteban works on CAH.
  • Eline: Elliott will check in with her on O&G and Poppasquash.
  • Rachel: ramping into SHR while still working on ASH.
  • Taylor: at least 20 hrs/week on BGC until the end of November.

In the Community
A fun holiday event at the Knight Library will benefit the Community Libraries of Providence. We will begin working them shortly on the design of the Rye Street Library project, so any good will and relationship building we can provide to them in advance as partners in community would be lovely (and spooky!). Note the event is for ages 21 and up!
